Guidelines for Faculty VIVO Updates

Faculty profiles on redesigned department websites source the majority of their information from VIVO profiles, with the exception of the following items:

  • Photos: These are added manually by A&S web services. Any updated or new photos should be sent directly to Scott Haber.
  • Titles:  These are added manually by A&S web services. Any updated titles should be sent directly to Scott Haber.
  • Contact information: This information, which includes a faculty member's email, office location, and on-campus phone is pulled from the Cornell Electronic Directory. Edits to this information should be made there.

Instructions for creating/updating faculty profiles on VIVO:

  1. Log in with your NetID and password at vivo.cornell.edu
  2. If you don’t already have a VIVO profile, follow the instructions to create one.

VIVO fields to fill out

(These are the only fields we're pulling data from. If the information is in another field, it will not appear in the new website profiles)

a. “Overview”- this field can include a short bio, or a list of the faculty member’s academic/research interests, and teaching background.

b. "Research Overview" (found under "Research" tab)- This field can be used in addition to "Overview" if you wish to separate research interests from the general overview.

c. “Selected Publications Listing” - (make sure you use this field for publications, and not “Selected Publications” which is right above it). This field should be entered as a bulleted or numbered list.

d. “Affiliations” - This includes both departments and graduate fields (if applicable).

e. “Websites” - Add these only if the faculty member has a personal website or blog...do not link to the department website here.

f. "Educational Background" (found under "Background" tab) 

The update process:

Our system checks for new updates to VIVO on a daily basis. When you make an update on VIVO, you will not see that change reflected immediately on your department website profile. If it has been more than 24 hours since you made a VIVO update and the changes are not reflected on your website profile, contact Scott Haber.

Do not attempt to edit profiles directly in Drupal. These changes will be overwritten by whatever is in VIVO within 24 hours. Always make any updates/changes in VIVO only.
